Inspections module

The Inspections module tracks recurring checks that must be carried out and documented: fire safety, elevators and lifts, vehicles, electrical installations, HVAC, pressure vessels and boilers, equipment calibration, health and safety audits. A missed inspection is a compliance breach and often an insurance problem too.

What it tracks

• The asset or site being inspected
• The due date for the next inspection
• The inspector or certifying body and the certificate reference
• The owner responsible for booking it
• The last inspection report or certificate (PDF)

Key date

Expiry of the current inspection certificate, which is the date the next inspection must be done by. Reminders fire on your workspace schedule (60, 30 and 7 days before, and on the day, by default) at 08:00 local time, so there is time to book the inspector.

A worked example

A property manager looks after eight buildings. Each has fire alarm, emergency lighting, elevator and electrical inspections on different cycles. Every inspection is a record with the building as holder and the facilities lead as owner. The Calendar view shows the month's inspections at a glance, and the Runway shows what is overdue.

Tips

• Create the record from the last inspection certificate with AI document parsing. The next due date is usually printed on it.
• When an inspection is done, use Mark as renewed with the new certificate date and attach the new report.
• Use the Category picker (Fire safety, Elevator / lift, Vehicle, Electrical, HVAC, Equipment calibration, Pressure vessel / boiler, Health & safety audit) so reports group sensibly.

FAQ

Can I track many assets of the same type? Yes. One record per asset, each with its own due date and owner.

What about inspections with no fixed cycle? Set the due date to when you want the next one done. Reminders follow that date.
