What AI does

AI reads a supported PDF or image and suggests structured information such as:

• The likely module.
• A record title.
• Document or record type.
• Organisation or person.
• Reference number.
• Dates, their types and labels.
• A short summary and confidence indicators where returned.

These are suggestions for review. AI does not make the renewal decision, approve a document's validity, or guarantee that every obligation has been found.

Create a record from a document

1. Select Add record > From document.
2. Upload a PDF or supported image, such as PNG, JPG or WebP.
3. Wait for parsing.
4. Confirm the suggested module, or choose the correct enabled module.
5. Review the proposed title.
6. Inspect every proposed date. Change its type or value if needed and deselect unwanted dates.
7. Review optional entity, type and reference fields; include only the information you want.
8. Select Create [record type].
9. Open the resulting record to review the attached document, responsibility and reminder schedule.

The creation review requires a title and at least one selected date. If no date was found, use a clearer document or create the record manually.

The AI upload limit is 12 MB for supported parsing formats. This differs from the 10 MB regular attachment limit and 3 MB external document-request limit.

Parse a file already attached to a record

In Documents, choose the supported file's Extract dates with AI action. The review opens as Review what AI found.

Select the proposed dates and fields to apply. Date types and values can be corrected before applying. Replacing an existing title is an explicit choice; the review identifies that it overwrites the current title. An existing entity is not automatically replaced through this review.

Select Apply only after reviewing the selected information.

Included usage and your own key

The current Free plan includes five built-in parses in total. Pro includes 300 per month. Successful requests and pending/reserved requests count toward the included allowance. Confirmed failures return the allowance; deleting a document does not reset usage.

In Account > AI parsing, users can optionally supply their own key for OpenAI, Anthropic or Google. Their own key replaces the built-in key for their parsing and is not charged against the included allowance. The provider's own usage charges still apply. Keys are verified before saving and stored encrypted.

Best practice

Show the source date beside the extracted result during review. Inspect ambiguous numeric dates, conditional renewals and notice wording carefully. Treat confidence as a review aid, not proof of correctness.
