AI document parsing
Add a record from a PDF or photo. Lapsewise reads the title, dates and reference number, you confirm, and the record is created with its reminders.
Most of what you track already exists as a document: a certificate, an insurance schedule, a signed contract. Instead of typing the details in, drop the file on Lapsewise and let it read the dates for you.
How it works
- Click Add record and open the From document tab, or drop a file anywhere on the dashboard.
- Lapsewise reads the document and tells you what it thinks it is: "This document looks like a Certificate". Confirm, or pick a different module.
- Review the fields it found: title, the key date, issue date, reference number, issuing organisation, holder and any notes. Fix anything that is wrong.
- Click Create. The record is created, the document is attached, and reminders are scheduled on your workspace schedule.
Nothing is created until you confirm, so a misread date never slips through unseen.
Supported files
PDF, PNG, JPG and WebP, up to 10 MB. Scans and phone photos work as long as the text is legible.

- Pro includes 300 parsed documents a month on Lapsewise's own AI. No API key to set up. The counter resets each calendar month and is shown under Account > AI document parsing.
Using your own AI key
If you would rather run parsing on your own account, open Account > AI document parsing, pick a provider (OpenAI, Anthropic or Google), paste your key and optionally choose a model. Your key replaces the built in one and your parses are not counted against the included budget. Keys are stored encrypted and used only for your workspace's documents.
Tips
- One document, one record. A multi page PDF with several certificates is best split first.
- Check the year on the key date before confirming. That is the field that matters most.
- The document stays attached to the record, so the paperwork is one click away when the reminder fires.
FAQ
What happens to my documents? They are stored privately in your workspace, as with any attached document, and sent to the AI provider only to extract the fields. See Attaching documents.
What if the document is not one of the twelve modules? Pick the closest module when confirming, or switch to Fill in manually.
Does it work on handwritten documents? Sometimes, if the handwriting is clear. Always review the fields before creating the record.
