Find the money your subscriptions are quietly burning. Adjust the numbers to your reality; the model is fully transparent.
The calculator uses four independently-estimated waste buckets. Each is a transparent multiplication of your spend by a factor derived from published industry benchmarks for license utilization, vendor price escalation, and negotiation outcomes. Adjust the sliders to your reality; the methodology is unchanged.
You pay for every seat whether or not it logs in. Straight multiplication of spend by your unused share.
When a renewal auto-rolls, the vendor's increase lands unnegotiated. The mistiming factor is the share of increases that go unchallenged given your procurement maturity.
The share of contracts that renew for another full term when nobody wanted them: the tool someone trialed, the team that churned. This rate falls sharply once renewals are actively tracked.
Discounts left on the table by renewing late or under deadline pressure instead of negotiating 60 to 90 days out. Benchmark negotiation savings run 2 to 6% of spend.
| Procurement maturity | Negotiation factor (g) | Forgotten-renewal rate (f) | Mistiming factor (m) |
|---|---|---|---|
| Ad hoc | 6.0% | 7.0% | 85.0% |
| Somewhat managed | 4.0% | 4.0% | 55.0% |
| Actively managed | 2.0% | 1.5% | 30.0% |
Total waste is capped at 55% of spend. If the four buckets add up to more, the model applies a proportional scale-down and notes the cap. No credible benchmark puts realistic total SaaS waste above this level.
The recoverable amount = forgotten renewals + poor contract timing + 60% of unchecked price increases. The 60% represents the share of vendor price increases that a team showing up to negotiations 60 to 90 days before renewal can challenge or offset. Unused-license waste requires seat-by-seat audits, so it is excluded from the "just track renewals" claim.
This is an estimation model, not an audit. Factor defaults are drawn from published industry ranges for license utilization and negotiation savings; your actual situation will differ. The model uses USD as the display currency; if your spend is in another currency, the ratios and percentages still hold. Enterprise contracts are often governed by negotiated terms that differ materially from vendor-list conditions. Use this as a conversation-starter with your finance or procurement team, not as a definitive figure.
Lapsewise tracks every renewal date, fires reminders before each cancellation window, and puts every contract one click away. Turn the estimate above into recoverable cash.
