Account & billing

Account settings

A guide to all ten tabs: profile, preferences, contacts, notifications, AI, billing, rewards, modules, workspace and security.

On this page

Open Account using the account/profile control in the top bar. The tabs currently appear in this order:

  1. Profile.
  2. Preferences.
  3. Contacts.
  4. Notifications.
  5. AI parsing.
  6. Plan & billing.
  7. Rewards.
  8. Modules, for owners/admins.
  9. Workspace, for owners/admins.
  10. Security.

Access and available controls can depend on the user's role, plan and existing configuration.

Profile

  • Full name: the name used in workspace activity and invitations. Optional; email is the fallback.
  • Email: the account's sign-in/reminder email, displayed read-only here.
  • Member since: the account creation date.
  • Save changes: saves an edited name.

Preferences

  • Reminder timezone: choose the timezone for your reminders.
  • Detect: fills the browser's detected timezone.
  • A local-clock preview helps confirm the selection.
  • Save changes: saves the preference.

Reminders are scheduled for 08:00 in each recipient's timezone. Actual delivery timing can vary.

Each teammate has their own preference. The top-bar theme toggle switches light/dark appearance separately from this tab.

Contacts

Manage people who need reminder emails without a workspace account. Save a name, email and timezone, send confirmation explicitly, then assign records. Manage records also supports bulk changes. See External reminder contacts and Bulk reminder management.

Notifications

Your reminder schedule explains where to inspect each record's open dates, recipients, next send and delivery history.

Email remains the baseline reminder channel. SMS and Slack are Pro features and supplement email.

SMS reminders

SMS uses the user's own Twilio account. Fields include:

  • Your phone number, with country code.
  • Twilio Account SID.
  • Sending phone number or Twilio Messaging Service SID.
  • Twilio Auth Token, or a replacement token.

Users can save/update details, enable or disable SMS, send a test SMS, or remove the configuration. Twilio details are verified before saving and the token is stored encrypted. Twilio bills the user for its messaging service; the Lapsewise subscription is not an unlimited SMS allowance.

Slack reminders

A workspace administrator connects a Slack incoming webhook for the chosen channel. Controls support connecting/replacing the webhook, enabling/disabling reminders and disconnecting.

Connecting Slack sends a test message to the channel. The SMS test button also sends an actual message. Use the test controls when you intend to send a real message.

AI parsing

This tab shows:

  • Built-in AI usage or reserved usage, where included and configured.
  • Whether your own key is active instead of built-in AI.
  • Provider: OpenAI, Anthropic or Google.
  • Model: the available models for the chosen provider.
  • Your own API key, or replacement key.
  • Save key / Update key and Remove key.

A saved key is not shown again. Use the current default model unless there is a reason to choose another. Keep your API key private.

Plan & billing

This tab shows the current plan, subscription state and usage, including records and team members. Users can compare monthly/annual billing, upgrade, manage billing, and use the available cancellation/reactivation controls.

Current public plans on 8 September 2026:

The pricing is per workspace, not $29 for each team member. Annual Pro billing is $290 charged yearly. For current prices, see the Free and Pro offer.

Manage billing opens the billing portal. A scheduled cancellation retains paid access until the stated period end, and the app can offer reactivation before cancellation takes effect. Moving to Free can require reducing records or members to fit Free limits; the interface explains any block.

Review the subscription and billing period before confirming a change.

Rewards

Rewards is the existing review-credit programme for eligible subscribers. It shows credit earned, remaining credit, verified reviews and pending verification.

As of September 8, 2026, the interface lists Capterra, G2 and AlternativeTo, with $10 per verified eligible review and $30 total available. Claims go through verification; credits are applied manually by the team to Stripe subscription invoices. A pending claim is not the same as an applied credit.

Check the current programme terms and review-platform requirements before claiming credit. Reviews should describe your honest experience.

Modules

Owners/admins use switches to choose which trackers appear in the workspace. At least one module must remain enabled.

Disabling a module hides it and its records from the normal enabled-module interface. It does not delete the records; re-enabling brings them back. Their dates and history remain recorded.

Workspace

This tab manages shared settings:

  • Workspace name.
  • Default currency: used to prefill new records; records can use another currency.
  • Created: workspace creation date.
  • Reminder schedule: shared lead times.
  • Workspace logo: used on exported PDF reports.
  • Members: roster, roles and permitted member-management actions.
  • Pending invite links: copy or revoke an invitation.

The default reminder schedule is 60 days, 30 days, 7 days and on the day. Available choices include 90, 60, 30, 14, 7, 3, 1 and 0 days before a deadline. At least one reminder time is required. Each recipient's own timezone determines the scheduled 08:00 send.

Team roles and invitations

  • Owner: the workspace owner.
  • Admin: can manage workspace settings and members as well as records.
  • Member: can view and edit records, subject to the account's available permissions.

The invite form asks for an optional email and a role. An email-specific invitation is intended for the matching signed-in recipient; the email restricts who can accept it. Creating an invitation gives a link to share, and the app reports whether an invitation email was sent. Plan seat limits still apply when someone joins.

Members with appropriate rights can change non-owner roles or remove members. The interface protects the owner from the ordinary remove/change-role controls.

Security

The Password card contains New password, Confirm password and Update password. Passwords must match and contain at least eight characters.

The Sessions card has Sign out. This signs you out of the current session/device.
