Domains module

Use Domains for domain names, SSL certificates, hosting plans, email services, DNS/CDN services and code-signing certificates.

Fields include asset type, owner/brand, category, registrar/provider, renewal cost, currency and reference number.

There are two useful lookup features:

1. Auto-fill from the live domain: In Add record, enter a hostname and select Fetch expiry. Where available, choose a registry expiry or live SSL certificate expiry to fill the form.
2. Automatic domain checks: In an existing record, opt in to daily public registry and live TLS certificate checks. Review the latest observation and explicitly apply a date to a selected deadline.

Registry coverage varies. An unavailable registry expiry does not mean a domain has no expiry. A live certificate's expiry and a domain registration's expiry are different dates.

Good practice: Confirm renewal settings with the provider. Daily observations do not silently overwrite saved deadlines. Applying an observation updates the selected date and its reminder schedule; it is not confirmation of a completed purchase or renewal.

Add and maintain a record

Choose this module in Add record, enter a clear title and the relevant date, then expand optional details as needed. Open the saved record to attach the source document, check the responsible person and select reminder recipients.

Use Runway for approaching deadlines, Board for review progress and Table for comparing records. Complete individual obligations when fulfilled. For an actual renewal of an eligible expiry, renewal or end date, use Mark as renewed to retain its previous cycle.

Consistent names help

Reuse the existing organisation or person when several records concern the same party. Use Department and Tags for internal grouping. Naming someone as the holder or vendor does not send them a reminder: add and assign an external contact if they should receive emails without workspace access.

Document checks can compare expected requirements with records in this module. The result is based on the records, dates and files you enter, rather than independent verification of the document's contents.

Review automatic domain observations

Open an existing domain record, expand Automatic domain checks, enter the hostname and opt in. Checks run approximately daily. The panel shows the observation time, public registry and TLS dates when available, and any errors.

Choose Deadline to update and explicitly apply the relevant observation. A later check does not silently overwrite a saved date. If the saved date changed in the meantime, review the latest state before applying. A registry date and a certificate date describe different things; confirm with your provider which one governs the asset you track.
