How reminders work
Lapsewise emails reminders before a date lapses, at 8am in each person's local timezone, and is notice-period aware for contracts and memberships.
How reminders work
Reminders are the heart of Lapsewise. You add a date once, set how far ahead you want to be warned, and Lapsewise makes sure the right person hears about it in time.
Lead time
When you add or edit a record, you choose a lead time — how many days (or which intervals) before the key date you want to be reminded. Lapsewise schedules the reminder accordingly. You can set more than one (for example, 30 days and 7 days before).
Sent at 8am local time
Reminders go out at 8am in each recipient's own timezone. A teammate in another country is nudged at 8am their time, not yours — so reminders arrive at a sensible hour for whoever owns the record, not whoever created it.
Notice-period awareness (contracts & memberships)
This is the feature that prevents the most expensive mistakes. Many contracts and subscriptions auto-renew unless you cancel before a notice deadline — often 30, 60, or 90 days ahead of the renewal date.
Lapsewise reminds you before the cancellation-notice window closes, not on the renewal date itself. By the renewal date it's already too late; Lapsewise warns you while you can still act. Set the notice period on the record and the reminder math is handled for you.
Channels
- Email — included on all plans, the default channel.

Who gets reminded
The record's owner is reminded. Assign owners so the person responsible for a certificate, contract, or grant gets the nudge directly. (Team features let you assign and reassign owners.)
FAQ
What if I want multiple warnings? Set multiple lead times (e.g. 60/30/7 days). Each fires at 8am local time on its day.
Do reminders stop after the date passes? The schedule is built around your lead times before the key date. Once handled (renewed/cancelled), move the record on the status board so it leaves the "due soon" view.
Can different people own different records? Yes — each record has an owner, and reminders go to that owner at their local 8am.
Why 8am and not the moment I set it? A fixed, sensible morning hour means reminders land when people are starting their day, in their own timezone — not at 3am because of where the server or creator is.
