Getting started

Add a real record, check its dates and recipients, and build a simple daily routine.

Lapsewise keeps renewal and expiry dates together with the documents and people responsible for them. Start with one real obligation, then bring in the rest of your records.

Set up your workspace

New workspaces start with two short steps. Enter a Workspace name, then choose the trackers you want in your sidebar. Use Back to revise the name without losing your tracker choices. You can change both later in Account.

Choose Open my workspace to save your choices. After saving succeeds, the Lapsewise logo turns slowly and gently grows for about 2.7 seconds. The logo stays visible until the workspace has loaded. The dashboard then fades and zooms into view and opens the first-record form. Select the logo to skip the transition. Reduced-motion preferences skip the spin and zoom. If saving fails, your answers stay in place so you can retry.

This welcome flow is for new workspaces. Returning users go straight to their dashboard. If your device requests reduced motion, Lapsewise skips the logo rotation and workspace zoom.

Create your first record

  1. Create an account or sign in. The onboarding flow helps you start with a real record or document.
  2. Choose Add record. Use Fill in manually for a title and date, or From document to review AI suggestions from a file.
  3. Choose a module, such as Insurance or Domains. Enter a specific title and the date you need to track.
  4. Confirm the date type. An expiry, renewal, notice deadline and report deadline mean different things.
  5. Save the record. You initially become its responsible person.
  6. Open the record and inspect Reminder recipients and Reminders. Check the intended people, their timezones and the next scheduled email.

You can expand optional details later. A complete cost breakdown or a document checklist is not required to start tracking your first date.

Make sure the right person hears about it

Your name in Responsible person means you own the record. A name entered as its holder, vendor or person identifies who the document concerns; it does not send them an email.

For colleagues who need access to the workspace, invite team members. For someone who only needs reminder emails, add an external contact, ask them to confirm and assign them to the record. You can also select recipients during creation.

The default reminder offsets are 60, 30, 7 and 0 days before an open deadline. Emails are scheduled for 08:00 in each recipient's timezone; actual arrival can vary. Check your timezone in Account > Preferences and contact timezones in Account > Contacts.

Find your way around

Use All for records across enabled modules, or a module name to narrow the workspace. Owners and admins can choose visible trackers in Account > Modules.

The five views show the same records from different angles:

  • Runway: what needs attention next.
  • Timeline: how deadlines are spread over time.
  • Board: where review work stands.
  • Table: compare records and manage reminder recipients in bulk.
  • Calendar: what falls on a particular day or month.

A useful first-week routine

Attach the source document, assign the person who can act and check the reminder schedule for each important record. Use Runway for a daily check and Board for the weekly review conversation. After an actual renewal, use Mark as renewed with the new date to keep its earlier cycle.

When you are ready to bring over a spreadsheet, use Excel and CSV import. To find required paperwork that has never been added, set up Document checks.
